Frequently Asked Questions regarding Enrolment

Issues with your Name

Please check your first and last names are correct before creating your IT account. If your name is not correct, please email enrolment@yorksj.ac.uk

 

If you have already created your IT account and your name is incorrect, please raise a case via the Student Hub and we can arrange for it to be changed. Please note - this process can sometimes take a few days or weeks to complete.

 

Your legal name must be correct on YSJ systems as this is what is printed on your certificate when you finish your course. As your certificate is a legal document, your name must match what is on your legal ID eg. Passport. This includes any middle names.

 

If your name is incorrect in any way (missing middle name, spelling mistakes, in the wrong order), please let us know via the enrolment task. If you have already completed the enrolment task and need to advise us of an error with your name, please raise a case with the Student Hub and we can assist you.

Known as name

Name changes

Student Loans

If you have applied for a student loan we will send notification to the Student Loans Company once you have completed in person Registration and you are a fully registered student. Your loan payment will be made into your bank account three to five working days after the notification has been sent.

 

If your SLC account says that SLC are awaiting confirmation of registration form YSJ and you have completed your in-person registration, please wait a couple of days before getting in touch with us. This gives us time to send the notification to SLC. 

 

If you have not heard anything from SLC for a week after completing registration, please get in touch with us via the Student Hub.

 

If you are moving into University accommodation you will have opportunity to complete the registration process on campus during arrivals weekend, after you have collected your keys. 

Forgotten IT account username or password

You will need to contact the Student Hub. You can come to campus in person, or call 01904 876500

 

Online enrolment task

Please raise a case including screenshots if possible so we can investigate this for you.

I can’t change my country of permanent home or study code, or my nationality

You will need to delete all text from the box, then select list and find the correct country. 

I cannot upload my passport

On the upload passport screen, you will need to upload the image AND press upload for you to progress to the next screen.

I cannot upload a photo for my ID card

Please email your photo and student ID number to enrolment@yorksj.ac.uk so we can upload this for you. Please note that you may have to wait longer for your ID card to be printed.  Please ensure your photograph is in the correct format to avoid any delays in your card being printed. 

 

University Systems

I cannot access my timetable

At one of your induction events, staff will show you how to access and view your timetable which will be available online but only after you have completed your enrolment. Please note, once logged in you will need your Student ID Number to access the details of your timetable.

Can I keep my old YSJ account if I return for Postgraduate study?

Students progressing from undergraduate to postgraduate study are typically issued a new account. They should save any important emails and files from their existing account and transfer them to the new one if needed.

In exceptional circumstances, such as outstanding resits or ongoing queries, the old account may be retained temporarily. However, the student should use their new account as their primary account, and the old account will not be automatically deleted during that period.

 

MyYSJ app

The York St John University app ‘MyYSJ’ is available in the App and Google stores and also online at www.yorksj.ac.uk/app. Please download the MyYSJ app on arrival and subscribe to the newsfeeds within the app to make sure you don’t miss a moment.

 

If your MyYSJ app is not working, please raise a case with the Student Hub so IT can help you.
