The systems covered by this article are the student facing elements of the main placement systems. The systems are:

Which programmes use TMS?
TMS is the acronym for Timesheet Management System, and it is the online portal for the logging and approving of all timesheets in the above programmes.
The following programmes use the Timesheet Management System (TMS) for the recording of placement hours:
Nursing
Midwifery
All allied health professions*
Early Years Education and Care (with Graduate Competencies)
*Even if the programme does not have an hour's requirement to meet Professional Statutory Regulatory Body (PSRB) standards. The University has a duty to report all placement hours to NHS-England, and the use of timesheets is vital for this.
Completing timesheets
Access to TMS is via POW (Placements on the Web). All students on the above course will have been provided with details for accessing POW. Once in POW timesheets can be accessed by clicking on the binoculars next to the placement and the timesheet tab will appear.
Once on the timesheet page completion of the timesheets is done by editing each day and submitting the timesheet to be authorised. The hours entered on the timesheet do not update the main placement system and will not count towards overall placement hours totals until they have been approved.
Common TMS issues
Timesheet not showing
For timesheets to show the placement must be live within the system. This means the placement must be happening and be designated as a placement day within the main database. If a timesheet is not showing it could be that a change of day/date needs to be reflected in the system or that the placement has not yet started.
Hours not showing on overall total
If hours are not showing this could be for a few reasons. It could be that the timesheet has not been submitted, it has not been approved, or it is working through the system. For hours to appear in totals the timesheet must be submitted by the student and approved by the authoriser. The status of the timesheet is displayed on the timesheet. If the authoriser has not approved the timesheet the student should remind them to check their email for links to authorise. Once authorisation is completed it can take a few days for system to run updates and pull the information into the main database, only when this has happened will the hours show in the overall total.
Making a mistake on timesheets
If the timesheet has not been submitted edits can be made without any input from the Placement Team. If it has been submitted the Placement Team may need to re-open the timesheet to allow edits to be made.

POW is the acronym for Placements on the Web, and it is the online portal for getting placement details.

Finding placement details
To log on to POW students should use their university username and password.
Once on POW there is a tab called Practice Experience. This tab shows all placement activity that can be viewed. It will show all previous activity and any upcoming placements. It will not show all future placements as they may not have been agreed with partners, only confirmed placements will be visible.
Further details on each placement can be found by clicking on the binoculars next the host's name.
POW issues
There are few issues that can arise with POW, the most common being issues logging on. Anyone experiencing issues logging on to POW should contact the Placement Team who will investigate.
PebblePad
What is PebblePad?
PebblePad is an academic portfolio system that is used in some programmes to document placement activity that is then signed off/approved.
PebblePad is used in Nursing, Paramedic Science and Initial Teacher Education programmes. New health course may also use PebblePad.

Support and training for PebblePad is provided by the Digital Training Team. Details on appointment booking and self-help resources can be found through their website.
