This guide will help you reset your password for different university digital systems. Most university digital systems use your York St John IT account. To find out which systems use this account and which do not, read the help article called Your university IT account.

Resetting your York St John IT account password

If you can’t remember your York St John IT account password or if you want to change it, you can set a new one yourself using Microsoft 365. 

If you are unable to login and want to change your password to resolve this issue, first make sure that resetting your password will help. You should check that the following are set up and working first:

  • Microsoft Authenticator
  • Multi-Factor Authentication

If you have changed your phone or phone number, this may cause issues. In these circumstances, if you are unable to log in, you should contact the Student Hub for help either in person or by phone. 

Before you rest your password, check that your devices (including phones and laptops) have been logged out of the university Eduroam Wi-Fi. 

Throughout your studies you will be asked to change your password on a regular basis and you can use these steps when you are asked to change your password.

Step by step guide

If your password has expired but you still know it then to set a new password go to https://mysignins.microsoft.com/security-info/password/change 

 If you have forgotten your password then please follow this link to manage your password - https://passwordreset.microsoftonline.com

Add your full university York St John email address and complete the security puzzle (Captcha) by entering the characters on the screen. Click on Next.

If the characters (Captcha code) are not clear, you can request new ones by clicking on the refresh button. Alternatively, you can have the characters read out to you by clicking on the speaker button.

Choose one of the verification methods and follow the instructions: 

  • Send a text to my mobile 'phone number
  • Call my mobile phone number
  • Approve a notification on my authenticator app
  • Enter a code from my authenticator app

Choose one of the verification methods and follow the instructions: 

  • Send a text to my mobile 'phone number
  • Call my mobile phone number
  • Approve a notification on my authenticator app
  • Enter a code from my authenticator app

You will be asked to choose a second method to use for verification.  If you have used your mobile phone for the first method, you will need to use the authenticator app for the second.

Please make sure your new password meets the following requirements or it will not be accepted;  

  • At least eight characters long  
  • At least one upper case letter  
  • At least one lower case letter  
  • At least one numerical (0-9) character  
  • You must not use your username or real name as part of the password  
  • You cannot use a password you have had before  
  • Do not use special characters such as @, or* etc. as these can cause problems  

Remember:  

  • If you have your previous password saved onto your devices and Eduroam Wi-Fi you will need to delete this before using your new password. A previous password will prevent you from logging in.  

Resetting your Library accounts

Library online resources 

You should use your York St John IT account (username and password) to access online Library resources, including ebooks, ejournals and databases. 

You can use either your username or your full email address when logging in to Library resources.

For students, your username will be in the format jane.smith.

Your York St John email address is your username followed by @yorksj.ac.uk.

My Library Account

You can check the items you have on loan by using My Library Account. This is a separate account and to log in you will need:

•    Your individual borrower number (the same number that appears on your student ID card)

•    Your individual 4 digit PIN (set by the user)
