Changing job role during your apprenticeship

If you are offered a new role with your current employer during your apprenticeship, please contact your Work Based Learning Tutor (WBLT) as soon as possible. This is so that so we can support you and make sure there is no disruption to your learning.

Your first point of contact should be your WBLT. If you are unsure who to contact, or your WBLT is out of office, then please submit a case through the Student Hub online portal

Once your WBLT is aware, they will send you a Change of Job role form, via email, for you to complete and return to themKeeping your WBLT updated helps ensure a smooth transition and keeps everything compliant with apprenticeship regulations.

 

Changing employers during your apprenticeship

We understand that during an apprenticeship, circumstances can change and you may be offered a new role with a different employer. York St John University can support this transition to help you continue your apprenticeship, but it is essential that all parties follow the correct process.

The most important thing for you to do, is to let the University know as soon as possible. This must be no later than when you hand in your notice. The earlier we are informed, the more likely it is that we can help you continue your studies without interruption.

There are several steps that must be completed before you can continue your apprenticeship with a new employer. These steps can take 4 to 6 weeks, so starting the process early is essential. If your move takes longer than 30 days, it could lead to a break in learning.

To avoid delays or complications, you will need to work closely with your WBLT, who will guide you through the process and support you at each stage.

 

What you need to do

  • Tell your WBLT as soon as you accept a new job offer.
  • Inform your new employer that you are an apprentice. It is their choice whether to continue supporting your apprenticeship.
  • Ask your new employer to contact the Universities Business Development team at: apprenticeships@yorksj.ac.uk
  • Let your WBLT know when your last working day is with your current employer, and your intended start date with your new employer.

 

 

Your apprenticeship cannot continue until a new agreement is in place and signed by all parties.

 

Eligibility checks

To continue your apprenticeship with a new employer, the following conditions must be met:

 

  • You must not be self-employed or working as a sole trader.
  • You must have a clear line manager (not yourself or a business partner).
  • Your new job role must be suitable for the apprenticeship you are currently completing.

 

If any of these conditions are not met, you may no longer be eligible for funding from the funding agency, and your programme may need to be reviewed. Your WBLT can help you with this.

 

What each party must do

You (the apprentice) must:

  • inform your WBLT of the change as soon as possible.
  • provide accurate dates for leaving your current employer and starting with your new one.
  • ensure your new employer is aware of their responsibilities and that they contact the University promptly.

 

Your current employer must:

  • liaise with York St John's Business Development team to end the payments for your apprenticeship. Confirm your final day.
  • support a smooth transition where possible.

 

Your new employer must:

  • contact the University to begin the contracting process.
  • complete and sign a new Training Plan and Apprenticeship Agreement (provided by the University).
  • set up a new digital record for the apprenticeship, with a new start date and agreed funding arrangements.

 

The University will:

  • confirm your final day with your current employer and update records with the funding agency.
  • support your new employer in setting up your continued apprenticeship, including issuing the necessary documents.
  • resume your apprenticeship once all new paperwork is complete and signed.

 

 

Changing employers does not have to disrupt your apprenticeship, but clear and early communication is vital. Please keep in regular contact with your WBLT, who will help ensure all the necessary steps are taken on time.
